Receptionist (Little Falls, NJ)

Reporting to the Director of HR, this role will be responsible for greeting, assisting, and providing information to clients, visitors, etc.

Reporting to the Director of Human Resources, this role will be responsible for greeting, assisting, and providing direction and information to clients, visitors, and other guests of the Firm.

Essential Duties/Responsibilities:

  • Answers, screens, and determines the nature of calls and directs them to the proper staff member; takes messages as needed.
  • Coordinates, schedules, and confirms all conference room and office requests as requested in a timely manner.
  • Ensures that all visitors are escorted through the building by an SH employee.
  • Greets all clients, visitors, and guests in a friendly and professional manner; determines the purpose of each person’s visit and directs or escorts them to the appropriate location.
  • Liaison between Business Management department, vendors visiting the firm, and building maintenance department as needed.
  • Responsible for sending “Cold Calls” to the cold call line or to Chief Growth Officer as appropriate.
  • Sends incoming faxes to the intended employee; send confirmations of outgoing faxes to the intended employee and for logging for end of month cost entry.
  • Updates monthly lists (i.e.- cell phone list, attorney and secretary assignments list, cell phone list, and who’s who list) and submits to IT for posting on the internal Intranet.
  • Performs other administrative and clerical support tasks as assigned.

Education and Required Skills:

  • High School diploma or equivalent required.
  • Excellent verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office suite, FedEx, NetDocuments, and Elite.

Certifications:

  • National Association of Professional Receptionists preferred.
  • Notary preferred.

Work Hours:

  • In office work at the Little Falls, NJ location.
  • Full-time, non-exempt, Monday to Friday 9:00 a.m. – 5 p.m. (one hour lunch).
  • Overtime (over 40 hours) may be required from time to time.
  • Compensation range $21 – $26 per hour.
