Scarinci Hollenbeck is searching for an experienced Legal Secretary. This individual will be required to provide ongoing support to three attorneys in the Real Estate section by aiding with a variety of administrative duties. Should have e-filing experience, strong dictation skills, MS Office suite and prior law firm experience.

Essential Duties/Responsibilities:

  • Provide administrative support to three or more attorneys
  • Attend and take notes at meetings
  • Assist attorneys in collecting legal and factual documents and file motions
  • Communicate with opposing counsel and other parties, clients, judicial administrative staff and vendors
  • Schedule depositions, site inspections, hearings, closings, and meetings for attorneys and other legal staff
  • Accurately proofread, edit and prepare legal documents and notices, and update transactional documents with the most recently negotiated language
  • Transmit legal correspondence to clients, witnesses and court officials by electronic filing, mail, fax or messenger
  • Complete administrative forms, such as timecards and expense reports for supervising attorneys
  • Conduct thorough statistical/documentary research
  • Source and verify important case intelligence
  • Answer phone calls, take notes and messages and redirect calls when appropriate
  • Maintain and update inventories of contact details

Required Skills/Abilities:

  • Knowledge of constitution, legal terminology, regulations and court system.
  • Must have strong technology skills and particularly proficiency with Microsoft Suite and ability to work with legal technology (court-filing computer systems, transcription software, etc.)
  • Ability to multitask and prioritize.
  • Ability to organize workflow and use time efficiently.
  • Outstanding time-management and typing skills.
  • Uses the utmost discretion regarding sensitive company, employee and client information.

Education and Experience:

  • High school diploma or equivalent required.
  • Possess a minimum of two years of hands-on experience in a Legal Secretary capacity.
  • Real estate experience preferred.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Work Hours:

  • Full-time, Monday to Friday 9 a.m. – 5 p.m. (one hour lunch)
  • Overtime work may be required from time to time.
